Family Movie Nights - 1-2 each season - Fall, Winter, Spring
Commitment Level: Light
Number of Coordinators Needed: 1-2
Responsibilities:
1. We’re going to try to set the dates early in the year, but about 3 weeks out from each movie, double check with Mrs. Simons (principal)
2. 2-3 weeks out - choose 3 kid-friendly movies and send a survey to teachers to ask the kids to vote on their pick (You will need a DVD.) **We have a Movie Survey - ask a Board Member to share it with you from our Google Drive.
3. 1-2 weeks out - Check Popcorn supplies - we should have about 200 paper lunch bags on hand and 2 full jugs of popcorn and oil in the PTO shed - coordinate with a board member to check it, and purchase as necessary
4. 1-2 weeks out - Contact the Social Media coordinator to publicize the “winning” movie on social media and possibly a paper flyer - SUGGESTED DONATION of $5 per person or $20 per family. Snacks and drinks should all be $1. Families will never be turned away if they cannot or do not pay. ***THESE ARE NOT DROP-OFF EVENTS*** Make that super clear in all communications with families
5. 1-2 weeks out - contact the Volunteer Coordinator to put out a Sign-Up genius for people to sell snacks and take donations, and to clean up at the end
6. Coordinate with Mrs. Marceau to learn how to use the sound system, and reserve the projector with Mrs. Simons. (Mrs. Simons can also help with the sound system.)
7. Contact Mrs. Simons/Custodial Staff for 2-3 folding tables for concessions and admissions.
8. Week of - Coordinate with the Assistant Treasurer for 2 cash boxes - 1 for entrance and one for concessions
9. Week of - Shop for, or arrange for someone to shop for needed popcorn supplies, bottled water, and/or other reasonably healthy snacks - being aware of common allergens (Keep any receipts for reimbursement.)
10. Night of - Set up DVD player, screen, and projector (No wifi access in the school)
11. Night of - the expectation is that we put the tables away and that when we leave, the gym/playground is cleaner than when we arrived

Parents’ Night Out - Fall and Winter

Responsibilities:
1. September and January/February - Contact local restaurants with event spaces (ex. Atlantic Grill) to see if they’d be willing to host an event - maybe with a prix fixe menu or buffet? Cash bar? See if they will make us a deal on the event space or donate a portion of the profit for a fundraiser. (OR - we sell tickets ahead of time to make money on the event.) -OR- Plan an event like a night at Pins with Ax throwing and bowling, or some other fun event - again see if the business will offer us a flat fee for the activities and maybe even a cut of the bar and food tab.
2. Check dates ahead with the school calendar - but announce a date 3-4 weeks ahead to allow people to arrange for babysitters. Contact the Social Media Coordinator to announce/publicize the event.
3. Create a flyer/order form if necessary, or a google form to get numbers. If payment is required ahead of time, then a paper form is a good choice, but it can also be done online if necessary.
4. Week Of - Collect any order forms/check any online orders and get a count to the restaurant/event venue. Contact the Assistant Treasurer to make any necessary deposits.

3. 1 Week Prior - send out reminders as necessary - and if there are too many open spots in the sign-up, contact Volunteer Coordinator and the President to make a plan.
4. Week-Of - Check in, send reminders, deliver, or arrange for the delivery of food as necessary.

2. 3 Weeks Prior - contact the Volunteer Coordinator to send out a Sign-Up Genius for daily shifts and the Social Media coordinator to publicize the event
3. 1 Week Prior - send out reminders as necessary - and if there are too many open spots in the sign-up, contact Volunteer Coordinator and the President to make a plan.
