Cash Raffle - Fall - ending at the December PTO general meeting Commitment Level: Medium Number of Coordinators Needed: 1-2 Responsibilities: 1. September - Order raffle tickets - ask a Board Member to share the Google Doc with specifics 2. Sept./Oct. - Dec. - 1. Send out ticket order forms in yellow folders - and make sure tickets get to the proper families 2. publicize online through the Social Media Coordinator - remind people occasionally to purchase tickets 3. Sell tickets online through a link on the web-site? Up to the coordinator(s) 4., Be present - and/or ensure sellers are at PTO events with tickets to sell - Halloween Dance, Election Day Bake Sale, Restaurant Nights, etc... 5. Consider selling at a public venue - (White Heron has been receptive in the past to us setting up a table.) 3. December - Make a final push to sell tickets - coordinate with Assistant Treasurer to make any deposits 4. December PTO Meeting - Draw the winners - contact them about the prizes, and arrange for payment through the Assistant Treasurer
Holiday Concert and Musical Front Row Seat and Parking Raffle Commitment Level: Light Number of Coordinators Needed: 1-2 (easily handled by 1) - Each concert can be handled by the same person, or several people can split the concerts/musicals/talent show Responsibilities:
Beginning of the School Year - Confirm Holiday Concert, 4th grade Recorder Concert, and grade-level musical performance dates with NFS front office and/or Mrs. Marceau.
3-4 Weeks Before each Concert - ask a Board Member to share the Raffle Order with you from the Concert Raffle folder in our Google Drive. MAKE A COPY of the order form to update it with the proper dates and details. (If making a copy does not give you access to edit the form, contact the PTO President to share the Raffle Order Form from the PTO Drive.)
3 Weeks Before each concert - Copy and send out Raffle Ticket order forms through yellow folders - Sort into sets of 20-25 papers - enough for each of the appropriate grade level classrooms.
Contact the Social Media Coordinator to publicize the raffle on Social Media and in the weekly email.
1 Week Before Concert/Musical - Collect orders from the Front Office. Draw the Winner - If possible at the PTO general meeting - Otherwise, on the designated date.
Inform the winners by email, and the Social Media Coordinator to publicize the winners.
Contact the Assistant Treasurer to arrange for a deposit of funds raised.
Night Of - Place Cones with “Reserved for Raffle Winner” signs in the designated parking spots. Tape “Reserved for Raffle Winner” signs to the designated seats in the performance space.
